Terms of Use

1. The Service

Moving Book is a digital quoting and survey tool for moving companies and their customers. Through a personal intake or review link, you can provide move details, inventory, services, notes, and photos so the company can prepare or review a quote.

The Service includes the public homepage, localized user interface, address lookup helpers, catalog selection, optional AI-assisted photo marking, and submission into the company’s Moving Book workspace.

2. Roles: Moving Book and the moving company

Moving Book provides software and infrastructure. The moving company that shared your link is responsible for its own commercial offer, pricing decisions, scheduling, customer communication, and the moving services it may later provide.

A quote shown or calculated in the form is a structured estimate/request based on the information entered. Unless expressly stated otherwise in a separate agreement with the moving company, it is not a final binding transport contract with Moving Book, and Moving Book is not the carrier performing your move.

3. Access through personal links

Customer forms are typically reached through tokenized links (for example /i/{token} or /q/{token}) created for a specific company and quote workflow.

You must keep the link confidential if it allows viewing or editing of your submission. Anyone with the link may be able to open the related form. If you suspect unauthorized access, contact the company that sent the link and info@mach-tech.io.

4. Your responsibilities

When using the Service, you agree to:

• Provide information that is accurate, complete, and up to date to the best of your knowledge.
• Submit only photos and notes that are relevant to the move survey and that you have the right to share.
• Not upload unlawful, abusive, or irrelevant content, and not attempt to disrupt or reverse engineer the Service.
• Not use the Service to send spam, malware, or automated abusive traffic.
• Review AI suggestions before relying on them; detection markers and room labels can be wrong and must be corrected by you when needed.
• Understand that incorrect addresses, floors, elevator information, inventory quantities, or photos can lead to inaccurate quotes and operational issues on moving day.

5. Photos and AI features

Optional camera capture, gallery upload, and AI detection are provided to speed up inventory collection. AI outputs are assistive suggestions only and do not guarantee completeness, correctness, volume accuracy, or pricing accuracy.

By uploading photos, you grant Moving Book and the relevant moving company a non-exclusive right to store and use those photos and related markers for quoting, job preparation, customer support, quality review, and related operational purposes connected to your request.

6. Pricing displays and changes

Any volume, distance, extras, VAT, or total amounts displayed in the form are generated from configured company inputs and the data you provide. They may change if information is updated, if the company adjusts rates/services, or if an on-site survey reveals different conditions.

Final commercial terms are determined by the moving company, not by Moving Book as platform provider.

7. Acceptable use

You may use the Service only for lawful quoting and communication related to a genuine move request. You must not attempt to bypass access controls, scrape the Service in an abusive way, probe vulnerabilities, or interfere with other users or company workspaces.

8. Intellectual property

The Moving Book name, logos, software, catalog structures, UI design, and related materials are owned by Moving Book / MachTech Digital OÜ or its licensors. Except for the limited right to use the Service as provided, no intellectual property rights are transferred to you.

You retain rights in the content you submit, subject to the license granted above for operating the quote workflow.

9. Third-party services

The Service depends on third-party providers such as hosting/database/storage (including Firebase), address services (Google Places), and AI analysis (Google Gemini). Those providers are governed by their own terms and privacy policies. Moving Book is not responsible for outages or changes originating solely from third-party platforms beyond our reasonable control.

10. Availability and changes to the Service

We aim to keep the Service available and useful, but we do not guarantee uninterrupted or error-free operation. We may modify, suspend, or discontinue features, localized content, or access methods where reasonably necessary for maintenance, security, legal, or product reasons.

11. Disclaimers

To the maximum extent permitted by law, the Service is provided on an “as is” and “as available” basis. Moving Book does not warrant that quotes will match final job costs, that AI detection will identify every item, or that a moving company will accept every request.

Nothing in these Terms excludes mandatory consumer rights that cannot be waived under applicable law.

12. Limitation of liability

To the maximum extent permitted by law, Moving Book / MachTech Digital OÜ is not liable for indirect, incidental, special, consequential, or lost-profit damages, or for decisions made by a moving company based on information submitted through the Service.

Where liability cannot be excluded, our aggregate liability arising out of or relating to the Service is limited to the greater of (a) the fees (if any) you paid directly to Moving Book for the specific web access at issue in the three months before the claim, or (b) one hundred euros (EUR 100), except in cases of death or personal injury caused by negligence, fraud, or other liability that cannot be limited by law.

13. Indemnity

You agree to indemnify and hold Moving Book / MachTech Digital OÜ harmless from claims, losses, and expenses (including reasonable legal fees) arising out of content you submit, your misuse of the Service, or your violation of these Terms or applicable law, except to the extent caused by our own willful misconduct.

14. Suspension and termination

We or the relevant moving company may revoke or disable a quote link, reject a submission, or restrict access if we reasonably believe these Terms were violated, if the link was compromised, or if required for security or legal reasons.

15. Privacy

Processing of personal data is described in our Privacy Policy. By using the Service, you acknowledge that policy. Commercial messaging and move arrangements after submission are handled by the moving company.

16. Governing law and disputes

These Terms are governed by the laws of the Republic of Türkiye, without regard to conflict-of-law rules, except where mandatory consumer protection laws of your country of residence provide otherwise.

Courts of İstanbul, Türkiye shall have jurisdiction, subject to any mandatory venue or consumer forum rights that apply to you.

17. Changes to these Terms

We may update these Terms from time to time. The updated version will be posted on this page with a revised “Last updated” date. If you continue to use the Service after changes become effective, the updated Terms apply to that continued use.
